Job Title: Accounting Clerk

Position Overview:
The Payroll Processing Accounting Clerk is responsible for ensuring accurate and timely processing of employee payroll. This role requires a high level of attention to detail, organization, and discretion, as well as knowledge of payroll systems and tax regulations. The Payroll Clerk works closely with the HR department, accounting team, and other departments to ensure that employee compensation is processed accurately and complies with company policies and legal requirements.
Key Responsibilities:
- Process Payroll:
Process bi-weekly/monthly payroll for all employees, ensuring the accurate calculation of wages, salaries, bonuses, and overtime. Ensure timely distribution of paychecks or direct deposits. - Maintain Payroll Records:
Update and maintain accurate payroll records, including employee work hours, overtime, deductions, bonuses, tax withholdings, and paid time off. - Ensure Compliance with Tax Regulations:
Calculate and remit federal, state, and local taxes (including Social Security, Medicare, and unemployment taxes). Stay up-to-date with changes in tax laws and ensure compliance with applicable regulations. - Verify Timekeeping Systems:
Review and verify timecards, work schedules, and attendance reports to ensure accurate reporting of hours worked, overtime, and leave balances. - Deductions & Benefits Administration:
Process payroll deductions, including benefits, retirement contributions, insurance premiums, and garnishments. Ensure deductions are accurate and compliant with legal requirements. - Payroll Reporting:
Prepare and maintain reports on payroll expenses, tax filings, and other payroll-related data. Assist in generating payroll-related reports for management, auditors, and regulatory agencies. - Respond to Employee Inquiries:
Address employee questions regarding pay discrepancies, benefits, deductions, and other payroll-related issues in a timely and professional manner. - Coordinate with HR Department:
Work closely with the HR department to ensure the accurate recording of new hires, terminations, promotions, salary changes, and benefits enrollment. - Year-End Payroll Activities:
Assist with year-end payroll processing, including the preparation and distribution of W-2 forms and other tax documents. Help ensure that year-end reports are accurate for auditing purposes. - Ad-hoc Tasks:
Assist the accounting team with other financial tasks, such as reconciling payroll accounts or preparing documents for audits.
Skills and Qualifications:
- Education:
High school diploma or equivalent required. Associate's degree or certification in Accounting, Finance, or related field is a plus. - Experience:
Minimum 1-2 years of experience in payroll processing or accounting, with a focus on payroll duties. Familiarity with payroll software (e.g., ADP, QuickBooks, Paychex) is highly preferred. - Knowledge of Payroll Systems & Tax Regulations:
Solid understanding of payroll software, timekeeping systems, and applicable tax laws (federal, state, and local). - Attention to Detail:
High level of accuracy and attention to detail in all aspects of payroll processing. - Organizational Skills:
Ability to manage multiple tasks and deadlines effectively in a fast-paced environment. - Confidentiality:
Strong commitment to maintaining the confidentiality of sensitive employee payroll and personal information. - Communication Skills:
Good interpersonal and communication skills, both written and verbal, to address employee inquiries and work with other departments. - Mathematical Proficiency:
Strong numerical aptitude and ability to perform calculations accurately.
Preferred Skills:
- Experience with payroll systems like ADP Workforce Now , QuickBooks , or Paychex .
- Familiarity with benefits administration and HR software.
- Basic knowledge of accounting principles and financial statements.
